Program / Portfolio Management

This is where the power of Information Management really shines.  If you capture the right information at the lower levels, Program / Portfolio Management can be a breeze.  If you try and capture too much or the wrong information at the lower levels, you might end up with nothing and have to do everything from scratch.  GNT Project Solutions can help assist in the following areas:

  • selecting and establishing portfolio systems;
  • developing an Information Management Strategy for the Portfolio;
  • developing a whole-of-portfolio reporting suite;
Project Management

Project Controls

There are not many aspects of Project Controls that cannot benefit from Information Management techniques, including:

  • planning for Project Controls
  • planning and compiling an estimate prepared by multiple parties;
  • setting up control budgets from estimates;
  • setting up code structures to be used across systems;
  • integrating systems (eg. cost and schedule);
  • changing systems
  • establishing reconciliation processes between project and ERP systems
  • establishing risk based contingency reforecasting processes using Monte Carlo methods
  • maintaining construction and other registers;
  • collecting field information;
  • establishing a progress measurement system and
  • performing an asset capitalisation.
Document Control

Document Control is an important subset of Information Management.  Typically only a portion of your overall information load will be subject to the Document Control discipline.  Getting the balance right is an important part of your overall strategy to ensure that you maximise the value of your available resources.  We can assist in the following areas:

  • planning for Document Control;
  • defining categories of documents and how they will be treated in the Document Control process;

Contracts

There is a need to manage a large volume of information to ensure the effective administration of contracts.  Information Management techniques can help in the following areas:

  • planning for Contract Management;
  • establishing a system to provide maintainable registers of Contract information (eg. Correspondence, Drawings, Claims, Contract Schedules etc.)
  • establishing a system to store form letters and documents;
  • retrieving information from multiple systems to support claim analysis.

Engineering

areas where Information Management can assist with Engineering includes the following:

  • planning for Engineering;
  • establishing and Engineering Packaging structure that ties in with the Procurement and Construction Plan and
  • establishing a process to re-estimate engineering packages at critical milestones to feed into Project Controls processes.
Construction

Construction is focussed on ensuring that the project is constructed in accordance with scope, time, cost and quality constraints.  However, a large amount of information needs to be provided to and collected from the Construction team.  Information Management can assist in the following areas:

  • planning for Construction
  • establishing registers for site instructions, delay notices, safety notices, punch lists etc.
  • capturing timesheet and installed quantity information and
  • establishing a daily diary.
Business Process Analysis

Business Process Management (BPM) is an important discipline that is closely related to Information Management.  Generally if information is important to you, your processes need to be designed in such a way to ensure that the information is collected and processed in a consistent and efficient manner.   GNT Project Solutions offers a range of services associated with Business Process Management, including:

  • modelling and analysis of processes using BPM tools;
  • integrating processes across departments (Eg. Controls and Contracts);
  • creation of role-based process maps using RACI techniques and
  • mapping processes to project documentation (eg. plans, procedures and work instructions).
Advanced Analysis

We also offer services relating to the advanced analysis of Project Information, and ad-hoc utility development, including the following:

  • cleanup of data contained anywhere (eg. Excel spreadsheets, databases, file servers etc);
  • advanced analysis toolkits using Excel or Access;
  • establishing online portals for specific activities (eg. collecting information associated with an estimate from multiple parties using Sharepoint);
